Custom vs. Off-the-Shelf Construction Software: What Subcontractors Should Know

· Kreaiten team

Most construction software is sold as “configurable.” You can rename fields, hide columns, choose which modules to turn on and build a few custom reports. For many companies that is enough. For a lot of specialty subcontractors, it isn’t — and the gap shows up in spreadsheets that live beside the system.

Configuration vs. customization

Configuration means choosing among options the vendor already built. Customization means changing the software itself: a new screen, a different workflow, a report in a GC’s exact format. Off-the-shelf platforms are designed for configuration because they serve thousands of companies from one codebase. When what you need isn’t in the box, configuration runs out.

Where off-the-shelf works well

  • Your processes are close to industry standard and you’re willing to adapt the rest.
  • You want the lowest upfront cost and the fastest start.
  • You don’t mind your roadmap being set by the vendor’s largest customers.

Where it tends to break for subcontractors

  • Cost codes. Your structure grew out of how you bid and bill. Mapping it onto a generic one loses detail.
  • Field adoption. If the daily report doesn’t match how your foremen think about the day, it doesn’t get filled out.
  • Trade-specific work. Prefab and shop labor, long-lead equipment, union class rates and fringes, inspections by floor — these are different for every trade.
  • Reports. GCs, owners and bonding companies each want their own format. Rebuilding them in Excel every month is a hidden cost.

Questions to ask before you choose

  1. Which reports do we rebuild by hand today, and how many hours a month does that take?
  2. Which of our workflows does the software force us to change?
  3. What happens when we need something the vendor hasn’t built?
  4. How does the price change as we add people?
  5. Who owns the data, and what does leaving look like?

The middle path

Custom software used to mean starting from a blank page — slow, expensive and risky. Kreaiten takes a different approach: every client starts from a complete working construction management suite, then the build changes it to fit. You get a system that already runs projects, purchasing, accounting and safety on day one, without forcing your company into someone else’s shape.

If you want to see what that looks like in practice, request access to the working demo.
